HOW TO: REFILE A DOCUMENT IN NEXTGEN

Documents in NextGen are stored in a centralized data store that gives end users the flexibility to index, file, and alter multiple settings. In this guide, we will explore the requirements to delete a misfiled document.
Creating Lost Page Batch
Procedures:
Within Document Management…
- Create a NEW batch and label it ‘lost page’ secure to yourself
- Find your new batch and Right-Click it
- Select the ‘set as lost page batch’ option
Finding the correct batch to remove
Now that lost page batch is created, we must find the document to be removed…
this can be done through Doc Management OR EHR
Search Option 1 - Docmanagement Search
Within Document Management…
- select the search icon
- In the pop-up menu, enter the criteria required to perform a search either for the document or person the document is filed under
- In the Patiens document list, select the desired document to delete and right-click
- In the new pop-up menu, select ‘Refile’ Document to open the document indexing view
Search Option 2 - EHR Patient Document Search
Within the EHR…In the patient’s Documents view…
- ‘Right click’ on the document you want to Delete
- In the pop-up menu, select ‘Open in NextGen Document Management’ to open the document in document management indexing view
Sending Pages to Lost Page Batch
Within the Document Management Indexing View…
- Navigate to the page within the document that you’d like to send to ‘Lost Page’ Batch
- select the ‘send to lost page batch’ button
- Repeat steps 1 & 2 for each page you’d like to send to lost page batch
FINALLY Lost Page Handling
Now that we have sent pages to lost page batch, we have to determine HOW to handle them…
Within Document Management…
- Find your lost page batch and Right-Click it
- From here, you can decide to refile the documents OR simply outright deleting the batch (this is permanent and unrecoverable).
NOTE: It is Important that lost page batches are handled IMMEDIATELY and not left to sit unhandled. the system will, from time to time, automatically delete lost pages after hours during maintenance periods.
